HINTS AND DEFINITIONS FOR "KEEPNAME"
Requirements: Decompress in a separate directory so that "KEEPNAME" can
find its support programs.
Run the program by keying KEEPNAME
Have ANSI.SYS loaded or run the program called "ANSI" before using
"KEEPNAME".
You must have DOS 3.0 or above. I use DOS 5.0. Monochrome or color is
supported.
1] Field definitions for Individual People records:

Title.... Mr, Mrs, etc.
Name..... Full name
Jr,Sr.... Jr., Sr., etc.
Salutation... How to address letter. To have Tom Davis print as
Mr. Davis, this field would say Mr. Davis
If left blank, the full name is used for salutation.
Address 1... Street address line 1
Address 2... Street address line 2
City.... City
State.... State
ZipCode.. Up to 10 character zipcode area
Home Phone... Home phone
More Phone... Work or play phone
Comment.. Up to 30 character comment.
Birthdate... Month, day, year format

If left blank, the full contact name is used for salutation.
Phone.... Company phone
Comment.. Up to 30 character comment.
3] Automatic File Processing Sequence.
Records are presented in alphabetical order as follows:
a} If individual person; by last name, first name.
b} If company; by company name. If "The" is the first part
of a co. name, it is ignored in the sequence.
4] Review-Edit function: (Browsing)
When you first start browsing the records, you will be shown
all types together by name (company and individuals combined).
The bottom of the screen lists commands that can be used.
They are as follows:
F1=Printing......Printing of all browsed records.
If in Company mode, will print company only
and vice versa for Individual mode.
F5=Companies.....You will browse companies only.
F7=Individuals...You will browse individuals only.
F9=All Again.....Browsing will be for all types.
SpaceBar.........Tag/untag records for printing or deleting.
ENTER............Edit the highlighted record.
ESC..............Process tagged records. Will return to Main Menu
if nothing tagged.
A-Z keyboard.....Move to first name starting with the character depressed.
5] Printing options:
a} Labels. The configuration program that can be accessed
at the KEEPNAME main menu asks for label specs as follows:
1-3 across standard business mailing sizes assumed.
b} Letters. The format is defined in the Main configuration
program. Starting line, margins, ending, etc.
c} Once a letter is chosen, it is printed as a formal business
letter with date, addressing, body, ending.
d} Report listing all the information.
6] How to access printing options. Letters, Labels, Reports.
When you choose file review-edit from the Main menu, the
browsing screen will show all actions at screen bottom.
The F1 key allows printing for "all" records.
** To print selected records, first tag them with the spacebar
and then hit ESC.
You will then be sent to a section that is self-explain.
** Up to 80 records may be tagged at a time.
7] Sometimes, the sequence "INDEX KEY" file can become damaged
if the program stops abnormally, such as a printer breakdown
in the middle of a long print run.
If the Index file gets damaged, you will be told by "KEEPNAME ".
If that happens, run the program called "FIXFILE" to repair
the damage.
8] "KEEPNAME" comes with a configurable word processor that
can be called from the Main menu. This word processor will
handle about a five page letter. It has maximum line width
of 80 characters.
9] Word processor action commands are described below:
ESC.........Edit work is finished
ALT + C.....Toggle Colors
ALT + D.....Delete current line
ALT + I.....Insert before current line
ALT + M.....Set right margin
ALT + P.....Print the file
ALT + R.....Reformat paragraph
Put your cursor on the first
line of the para. that needs
reformatting and then hit
ALT+R.
The program will adjust that
paragraph using the right
margin you supply.
A paragraph is any body of
text that begins with an
indent or ends with a blank
line before the next para.
ALT + W.....Toggle WordWrap

Arrow up..... Move 1 line back
Arrow Down... Move 1 line forward
Arrow Left... Move 1 position back
Arrow Right.. Move 1 position forward
PgUp......... Move 22 lines back
PgDn......... Move 22 lines forward
Home......... Top of screen
End.......... End of current line
Enter........ Advance 1 line to col 1
10] If you are going to be doing mass mailing, be sure to use
upper and lower case on your data files so that your
letters are professional looking.
